Event Co-Sponsorship Guidelines

Criteria for Submitting a Proposal for ARC Co-sponsorship

  1. The event/program must support the mission of the Africana Research Center. The mission of the Africana Research Center is to encourage and support research and scholarship that (a) enhances the lives of African people across the Diaspora, and (b) serves as a catalyst for promoting an enabling environment where cultural production and discourse on diversity can be nurtured to advance the research, teaching, and outreach mission of Penn State.
  2. Requests cannot exceed one-third of the event’s total cost.  Student organizations and academic and administrative units may receive up to $500.
  3. Major co-sponsorship requests (more than $500) must be submitted by May 1st of the fiscal year immediately preceding the fiscal year in which the event is to be held in order to allow for proper budgeting. For example, if an event is to take place during the 2016-17 academic year, the proposal should be submitted by May 1, 2015.
  4. Must be currently affiliated with the University.

Proposal Requirements

  1. A written proposal must be submitted to the Africana Research Center in 217 Willard Building or at africanacenter@la.psu.edu at least 30 DAYS IN ADVANCE of an event.
  2. Proposals must include:
    1. Names/phone numbers/email addresses of officers or contact personnel
    2. Unit/Department
    3. Program/Event Name
    4. Date/Time/Location
    5. Description of the event and goals
    6. Requested amount with detailed budget
    7. Target audience/usefulness to campus/marketing plan
    8. List of other co-sponsors
  3. Student organizations must include the Associated Student Activities (ASA) account number on the proposal AND must submit a signature sheet.

Proposals will be evaluated based on the following:

    • Strength of concept
    • Ability to meet student/campus interests and needs
    • Alignment with the Africana Research Center mission
    • Logistical strength of program

    If proposal is approved and funded, the Africana Research Center must be acknowledged as co-sponsor on all flyers and promotional materials and a copy must be submitted to the ARC prior to the date of the event.  The ARC word mark can be downloaded.

    There is a limit of one event co-sponsorship per year per organization or unit.
